Coal Harbour Bookkeeping respects your privacy. This page describes what information this website collects, why we collect it, how we store it, and the rights you have under Canadian privacy law. It applies only to visitors of coalharbourbookkeeping.ca. Engagement terms and confidentiality commitments for actual bookkeeping clients are set out separately in each client's engagement letter.
What we collect
We collect as little as we can while still running a useful website. Specifically:
- Contact form submissions. When you send us a note through the contact form, we receive your name, email, optional phone number, optional company name, the category of inquiry you selected, and your message. We also record the approximate time of submission and a truncated IP address for abuse-prevention purposes.
- Booking requests. If you book a discovery call through our scheduling link, the booking provider (Cal.com) collects your name, email, and chosen time. Cal.com's own privacy policy governs that data.
- Analytics. We use a privacy-first analytics tool that records page views, referrer, device type, and country. It does not set tracking cookies, does not fingerprint visitors, and does not use or share any personal data with third-party advertisers.
Why we collect it
Contact form information is used solely to respond to your inquiry and to follow up about a potential engagement. Booking information is used to hold the time on our calendar. Analytics is used in aggregate to understand which pages are useful and which are not.
We do not sell, rent, or trade personal information to third parties, and we do not use it for advertising.
How we store it
Contact form submissions are delivered by email via Resend and then stored in our business email inbox. Booking information is stored by Cal.com in their scheduling system. Analytics data is stored by our analytics provider in aggregate form, without any identifier tied to you.
Data stored in our email inbox is retained for up to 24 months from first contact. If you become a client, records are retained in accordance with professional record-keeping obligations (typically seven years for bookkeeping records, as required by CRA). If you ask us to delete your inquiry before then, we will do so within a reasonable timeframe.
Third parties we use
- Resend — delivers contact form email to our inbox and a short confirmation back to you.
- Vercel — hosts the website and serves it from edge locations close to you.
- Plausible (or equivalent cookie-less analytics) — records aggregated site traffic.
- Cal.com — handles discovery-call scheduling when you use the “Book a call” feature.
Each of these providers maintains its own privacy policy and security program. We review their terms periodically and choose providers who treat personal data with care.
Your rights under PIPEDA
Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) gives you the right to:
- Know what personal information we hold about you.
- Request a copy of that information.
- Ask us to correct information that is inaccurate.
- Withdraw your consent for us to keep or use your information, subject to legal or contractual record-keeping obligations.
- Complain if you believe we have mishandled your information.
To exercise any of these rights, email admin@coalharbourbookkeeping.ca. We will respond within 30 days. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada.
Security
The website runs over HTTPS. Contact form submissions are transmitted over encrypted channels. Our business email is protected by multi-factor authentication. No system is perfectly secure, but we take reasonable steps to protect the information you share.
Children
This website is intended for Canadian business owners, operators, and their advisors. It is not directed at children under 13, and we do not knowingly collect personal information from children.
Changes to this policy
If we materially change how this website collects or uses personal information, we will post an updated version of this page and revise the “Last updated” date above. Material changes will also be noted briefly at the top of the page for 30 days after publication.
